Booking & Cancellation Policy

How reserving a place, paying, rescheduling and refunds work. Written to be read, not to hide behind. If anything here is unclear, ask us before you book.

1. How booking works

We don't publish fixed dates months ahead. Cohorts open on demand, from a learner's request:

  1. Choose a course. If a date is already open, you can join it directly. If not, request one.
  2. Request a date, or join an open one. Requested dates must be at least 10 days out — enough time to confirm we can deliver it, open the date publicly, and give other learners a real window to join before reservations close.
  3. We confirm availability. Once confirmed, that date opens as a public live-online cohort — other learners can then join the same date.
  4. Reserve your place. You can reserve without paying immediately. Reservations for an open cohort close 5 days before the course start date — the earlier a date opens, the more time other learners have to join it.
  5. We confirm the cohort is running. At the reservation deadline we check the cohort has met its minimum enrolment (see section 3). We tell you before asking for payment. If you're the only learner and the trainer is happy to proceed at that size, it runs.
  6. Pay. Full payment must reach us 48 hours before the course start date.
  7. Receive your confirmation. Once payment clears, we email your booking confirmation and joining details.
  8. Attend. Live online, at the times published for your cohort.

2. Payment deadline and released reservations

A reservation holds your place but does not guarantee it. If full payment has not been received by the 48-hour deadline, we may release the reservation and offer the place to someone else.

We will always contact you before releasing a reservation. If you have told us payment is delayed for a reason outside your control — an international transfer in progress, or a bank hold — tell us before the deadline and we will work with you.

3. Minimum enrolment

Course delivery is subject to a minimum number of enrolments. Small cohorts are part of how we teach, but a cohort that is too small does not work either.

If a cohort does not reach its minimum, we will offer you a place on another date or a full refund, whichever you prefer. We aim to confirm this at the reservation deadline, before payment is taken.

4. Your right to cancel

If you are a consumer in the UK buying at a distance, you normally have a statutory right to cancel within 14 days of entering the contract and receive a full refund. Where a course begins during that 14-day window and you have asked us to start, you may be asked to pay a proportionate amount for what has already been delivered.

Nothing in this policy removes or reduces your statutory rights. Where this policy and your legal rights differ, your legal rights apply.

To be confirmed: our own cancellation terms outside the statutory window — how much notice is needed for a full or partial refund, and whether a transfer to a later cohort is offered instead. This needs a decision and legal review before publication.

5. If we reschedule or cancel

Cloudpilar Academy may reschedule a course where necessary. If we change the date after you have paid, you may either:

  • accept the new date, or
  • request a full refund.

If we cancel a course entirely, you receive a full refund. Refunds are issued to the original payment method, and we aim to process them within 14 days of the refund being agreed.

6. Corporate and team bookings

Corporate bookings are not covered by the reservation and 48-hour payment process above. They are quoted per cohort and confirmed by a written agreement setting out dates, delegate numbers, delivery method and payment terms.

Consumer cancellation rights do not generally apply to business-to-business contracts. Cancellation, postponement and payment terms for corporate bookings are set out in that agreement.
